Invoice processing automation

Invoice processing automation means software reads incoming invoices, matches them to orders and delivery notes, routes them for approval and posts them to your accounting system. Corrplus pulls structured e-invoices, emailed PDFs and scanned paper into one workflow, sends mismatches to your finance team and posts the rest to your ERP, including the Turkish e-Fatura and e-Arşiv formats.

Symptoms

  • Your finance team spends days at month end typing in invoices.
  • PDF invoices from different suppliers pile up in several inboxes.
  • Differences between the invoice and the order or delivery note surface only at payment.
  • Nobody knows whose desk an invoice is waiting on for approval.
  • The same invoice is entered twice, or posted to the wrong supplier account.

What waiting costs

Each manual error means a correcting entry, a supplier call or a late payment. As invoice volume grows, month end close stops fitting into the time your team has.

Our approach

  1. Collect every source

We pull structured e-invoices from your provider, PDFs from mailboxes and paper bills from scans into a single queue.

  2. Read and extract

Structured XML is read directly; tax IDs, dates, line items and totals are extracted from PDFs and images with AI models.

  3. Match and check

Each invoice is compared with the order and delivery note; differences in amount, quantity or supplier are flagged with a reason.

  4. Approve and post

Clean invoices go to the right approver under your rules, then post to SAP, Logo, Mikro, Netsis or your accounting system.

What to measure

  • Handling time per invoice
  • Share of invoices needing manual correction
  • Duplicate or misposted entries
  • Time from receipt to approval
  • Length of month end close

Where does invoice time actually go?

Reading an invoice is rarely the slow part any more. In Türkiye most invoices already move through the revenue administration’s e-Fatura and e-Arşiv systems, and across Europe structured e-invoicing is spreading. The data is digital, but the work is not finished. One invoice sits in a provider portal, another arrives as a PDF in a shared inbox, a foreign supplier’s bill lands in a different mailbox, and a courier receipt is on someone’s desk.

The real time goes into matching. Someone opens the invoice, finds the order, checks quantities against the delivery note, picks the supplier account and cost centre, sends it for approval and then types it into the ERP. Most of those steps can be described as rules. The ones that cannot, such as a supplier who names items differently every month, are a good fit for an AI model.

How each document type is handled

Document How it arrives How it is read Where a person steps in
Structured e-invoice XML through a provider (UBL, UBL-TR) Directly, by rules When matching fails
e-Arşiv or emailed PDF PDF in a mailbox Field extraction by a model On low-confidence fields
Foreign supplier invoice PDF, various languages Model extraction plus currency handling New suppliers and mismatches
Paper invoice or receipt Scanned image Text recognition plus a model On unreadable fields

For every invoice the workflow records which field it read from where and how confident it was. Anything below a threshold you set lands on a person’s screen. Automation speeds the work up without quietly pushing errors into your books.

How we start

We review a month of your invoices and your approval rules together, to see which suppliers carry the volume and which document types take the most time. The first workflow usually covers the most common document type and ships running on real data.

Where your systems have APIs, n8n or Make carries the backbone. For an old accounting screen with no API, we add an RPA step. PDF reading and classification run through LLM integration. Invoice automation is often the first and most visible step in a wider workflow automation project.

Frequently asked questions

How does this work with e-invoicing in Türkiye?

Most invoices in Türkiye travel through the revenue administration (GİB) system as e-Fatura in UBL-TR XML or as e-Arşiv, often delivered as PDF. Structured e-Fatura is read directly; e-Arşiv PDFs are read with AI models. The matching, approval and posting steps are the same for both.

Can it read invoices in other languages?

Yes. Current language models read invoices in English, German, Turkish and most other common languages. Fields the model is not confident about go to a person for confirmation.

Which ERP and accounting systems do you support?

Any that offer web services, database access or file import, including SAP, Microsoft Dynamics, Logo, Mikro, Netsis and Paraşüt. Where none of those exist, screen-based RPA is the last resort.

Does our accountant's role change?

No. Accounting rules, the chart of accounts and tax treatment remain decisions for you and your accountant. The workflow applies those rules and surfaces exceptions; the final check on the books stays with you.

Is invoice data personal data?

It can be, when invoices come from sole traders or freelancers. We agree where data is processed, how long it is kept and which fields reach a model during design, with your legal counsel, under GDPR and Türkiye's data protection law, KVKK.
